We are currently seeking a coordinator to work in office to handle administrative tasks related to sales support, recycling program management, customer interactions, quote and order processing, vendor relations, credit application processing, order management, freight and shipping coordination, service order processing, invoicing, communication, problem-solving, and various other administrative duties.
Sales and Operations Coordinator
Responsibilities:
As a Sales and Operations Coordinator at Alpine Power Systems, you will play a crucial role in providing administrative support to our Sales team and ensuring the smooth execution of various tasks.
Your responsibilities include:
General Administrative Support:
Assist assigned Salespeople with day-to-day administrative tasks.
Recycling Program Management:
Oversee administrative tasks related to our recycling program.
Customer Interaction:
Take incoming customer calls and address inquiries as required.
Quote Processing:
Process and distribute quotes in response to salesperson requests.
Order Processing:
Process customer orders in Alpine's integrated business information system.
Vendor Relations:
Liaise with approved vendors, managing purchase orders and making necessary changes per customer PO revisions.
Credit Application Processing:
Obtain credit applications/information from new customers and forward to the Director of Billing and Credit for determination.
Order Management:
Manage all aspects of assigned Customer orders, ensuring timely delivery.
Freight and Shipping:
Obtain freight quotes and process shipping documents for domestic and international orders.
Manage all freight claims as necessary.
Service Orders:
For orders including service, process Alpine Service Work Orders.
Invoicing:
Process Customer order invoicing, including input of Alpine invoices in customer Portals as required.
Communication and Collaboration:
Maintain regular communication with assigned Salespeople to resolve open items and ensure customer satisfaction.
Track all open items by Customer and Salesperson.
Complex Orders/Projects:
Manage complex Customer orders/projects as necessary.
Quality and Accuracy:
Ensure the production of detailed and accurate work in all tasks.
Multi-tasking and Problem-solving:
Utilize strong multi-tasking and problem-solving skills to support customer needs.
Professional Communication:
Demonstrate professional phone skills and overall effective communication.
Miscellaneous Administrative Tasks:
Perform additional administrative tasks as required to support customer needs.
